About Our Partial Planning & Coordination Service

You have done the hard thinking. The venue is booked, the big vendors are signed, and the vision is yours. What you do not have is the six weeks of logistics and the person who stands at the door at 6am telling the rental company where the chairs go. That is this service.

We take over 6 to 12 weeks before your date. Every contract you have signed comes to us, we audit it for gaps — and there are almost always gaps, usually around load-in windows, overtime and who supplies linens — then we build the production timeline, run the rehearsal and manage the entire event day. Month-of coordination is the single highest-value thing most couples buy.

What’s Included

How It Works

We meet at 10 to 12 weeks out for a two-hour handover and we read everything you have signed. At eight weeks we send the gap report and the first draft timeline. At four weeks we confirm every vendor directly. At two weeks the final numbers and floor plan lock. Then rehearsal, then the day itself.

Frequently Asked Questions

Day-of coordination is largely a myth — nobody can walk into a wedding cold on the morning and run it well. What is sold as day-of is really month-of, and we are honest about the name. We start four to eight weeks out because that is the minimum needed to read the contracts and build a timeline that holds.

A flat fee based on guest count, venue complexity and whether the ceremony and reception are in different places. Multi-day events are quoted per event day. Send us the details and we will put a number in writing.

No, and we will not try to replace your vendors either. Our job at this tier is to make what you have chosen work. The only time we raise a concern is insurance, licensing or a contract term that will cost you money on the day.

A little, and gladly — a missing officiant or a late transport booking is normal. If you find there are five or six things still open, that is partial planning rather than coordination, and we will quote the difference honestly rather than quietly under-serving you.

Yes. You give us the envelopes at the rehearsal, we distribute them at the right moments, and you get a signed receipt list the following week. It is a small thing that removes a genuinely stressful job from your family.

Why Choose Us for Partial Planning & Coordination?

Coordination is where experience shows and nothing else does. Our coordinators have each run 40-plus events, they arrive with a 60-item emergency kit, and they have solved the problem you have not thought of — the cake that arrives at the wrong door, the rain call at 3pm, the groomsman who is still at the hotel.
